Soft Play Equipment Factory Checklist: 11 Things to Verify Before You Order

Sourcing soft play equipment from a Chinese factory can cut your landed cost by 30–50% — but foam-based products are far harder to judge from photos than molded slides. The short answer: only order from a factory that can show you (1) valid CE/EN71 and fire-retardancy test reports for your target market, (2) a business license whose scope matches soft play production, (3) in-house foam cutting and cover sewing lines, (4) foam density, cover material and seam specs in writing, and (5) a written commitment to pre-shipment inspection. If a supplier cannot produce test reports, move on — soft play is safety-critical and returns are expensive.

1. Check certifications and fire-retardancy reports

Ask for the full test report with the manufacturer’s name, model and test date. A certificate photo without a matching report is a red flag, and for soft play the fire-retardancy certificate matters just as much as the toy-safety one — foam burns fast when it is not treated.

2. Verify the factory has real foam production

Soft play is often made by trading companies that buy foam shapes and covers from separate workshops. Request the business license, production-floor photos and a live video walk-through. A genuine manufacturer runs its own foam cutting and cover sewing lines and can show you the machines; a trading company will hesitate. Confirm the license’s business scope includes children’s play equipment or furniture manufacturing, not just trading.

3. Put foam and cover specs in writing

Never compare unit prices alone — a low price with a high MOQ or a long lead time can cost more overall. Confirm whether the MOQ is per model, per color or per order.

5. Approve a pre-production sample

Ask for a sample of the exact configuration you will order: same foam density, same cover color, same zippers. Check foam hardness, seam strength, edge finishing and whether covers are removable for washing. Keep the approved sample as the benchmark for the final inspection.

6. Lock in QC and inspection terms

Put the QC process into the proforma invoice: mid-production inspection, pre-shipment inspection with a photo report and the AQL level. Soft play also benefits from flame and load tests before packing — confirm the factory can provide those reports.

7. Agree on payment terms that protect both sides

The common arrangement is a 30% T/T deposit with the 70% balance against the copy of the Bill of Lading. For first orders, Alibaba Trade Assurance or a sight L/C adds protection. Avoid paying 100% upfront to an unverified supplier.
